Full-text indexing a Notes application
You can speed up searches for documents in an IBM® Lotus® Notes® application by creating a full-text index. You automatically have access to create full-text indexes on all Notes applications that are stored on your computer, or on Notes applications you have created. You must have Designer access or higher to create a full-text index for a server-based application. Only your administrator can full-text index an application on the Web.

To create a full-text index

1. Select the Notes application and from the menu, click File > Application > Properties. If the application is not full-text indexed, the message "Application is not full text indexed" appears on the Full Text panel.

2. Click the Full Text tab (the magnifying glass). If the application is full-text indexed, information about the index displays on this panel. You can update this information using the steps below in "To update or delete an index."

3. Click Create Index. If you do not have the proper access level, this button is not enabled.

4. Select the full-text index options you want to apply to this index.


5. Click OK.

Note You can also create a full-text index for a Notes application from the Search feature. For details on this procedure, see Creating a full-text index.

To update or delete an index

If an application already has an index, you can get information about the index and, if necessary, update the index.

1. Select the Notes application and from the menu, click File > Application > Properties.

2. Click the Full Text tab (the magnifying glass). If the application is full-text indexed, the following information displays:

3. Perform any of the following tasks.
ClickTo
Count unindexed documentsDisplay the number of documents that are not incorporated into an existing full-text index. This number includes all new documents as well as documents that have been modified since the full-text index was created.
Update IndexUpdate the full-text index. Use the unindexed documents count to help you decide if the index needs to be updated.
Delete IndexDelete a full-text index.
Note If you do not have the proper access level, the Update Index, the Create Index, and the Delete Index buttons are grayed-out (disabled) on the Full Text panel.
