Replicating selected documents in an application
If you frequently work in a large server-based application, you may want the convenience of replicating the documents you work with, but you may not have storage space on your computer for the entire application. You can create a partial replica that contains only the application design and the documents you select.

You can also create a replica on a server of only selected documents from a local application. For example, such a replica might back up important documents without using up much storage space on the server. You cannot select documents in a local application and create another replica locally, but you can modify an existing local application to include only the documents you select.

Tip There are other ways to make a replica partial, for example by specifying that it contain only documents in specified folders or views, or contain only data specified in a formula. For more information see Saving space in a replica.

To create a partial replica that contains only selected documents

By default, a partial replica of selected documents contains the full content of the documents. Notes creates the replica in your data directory by default.

1. Open the application.

2. Select the documents you want to work with.

3. Drag the documents to the Replication icon.

Depending on whether the original application is on a server or local, Notes opens the Create Replica for Application dialog box or the Overwrite Replica for Application dialog box.

4. If the application you're creating a replica for is on a server, click Options and do one of following:

To create the replica locally in the data directory (the default), proceed to step 6.
To create the replica on a server, in the Server list, select or enter the name of a server, and click OK.

(Optional) Modify the file name for the replica in the

File path

field. To specify a file path, click the folder icon and browse to the directory on the server where you want to save the replica.

Caution

If you create a replica of your mail, make sure you give the new replica the same file name and path as the file specified in the

Mail file

field on the

Mail

tab of your current location document. You can use different mail file names/paths for different locations; make sure replicas you use for those locations have matching file names/paths. For more information, see

5. If the application you're creating a replica for is local, the dialog box title is Modify Replica for Application ApplicationName. Click Options and do one of the following:

To modify the original application so that it contains only the selected documents, proceed to step 6.
To create the replica on a server, in the Server list, select or enter the name of a server, and click OK. The title of the dialog box changes to Create Replica for Application ApplicationName.

(Optional) Modify the file name for the replica in the

File path

field. To specify a file path, click the folder icon and browse to the directory on the server where you want to save the replica.

6. Do any of the following:

(Optional) Select Encrypt the replica using and click an encryption type (Strong, Simple, or Medium) from the list.
(Optional) To save space on your hard drive for a local replica, make sure Create full text index for searching is deselected. (An index approximately doubles the size of what you're creating.)
(Optional) To use the same ACL in the new replica as in the original application, select Copy Access Control List.
(Optional) To wait until the next scheduled replication to create the replica, deselect Create Immediately.
(Optional) Click More Settings to customize settings for this replica, such as the direction to replicate in, a schedule, and how much of each document in the application will be replicated.

7. Click OK.

Note

Notes adds a bookmark (in your History folder) and an application entry to the Replication page.

8. (Optional) If you change your mind about replicating only selected documents, and decide instead to create a replica of the entire application, select Extend replication to include entire application containing these documents, and click OK.

9. Click OK.
